General Rental Procedure

• Reservations: Equipment is rented on a first come, first served basis. Not all products are available for same day delivery. Reservations are always recommended.
• Deposits: A cash or credit card deposit is required from customers who do not have an established credit account. The deposit is in addition to the rental cost and is refunded upon return of the equipment. Deposit amounts vary and will be specified at the time of rental.
• Rental Period: Daily rental constitutes a 24-hour period. We are not open Saturdays or Sundays. If you pick up equipment on Friday after 4:00 pm and return it Monday morning before 10:00 am, this is considered a one (1) day rental. Otherwise, we charge for all time equipment is out including Saturdays, Sundays, and holidays. Late returns are subject to additional charges.
• Damage Waiver: A nonrefundable 10% damage waiver is charged on all rentals. There are no exceptions unless a Certificate of Insurance is presented at the time of rental. The damage waiver is subject to Pennsylvania Sales Tax.
• Certificate of Insurance: On certain rentals, Audio Visions, Inc. will require a Certificate of Insurance on file to cover the value of various pieces of equipment for casualty damage or more, naming Audio Visions, Inc. as "loss payee" and "additional insured." You will be notified at the time of rental if a Certificate of Insurance is needed for the items rented. Audio Visions, Inc. requires the insurance deductible to be covered either by credit card, cash or company check. The certificate must also cover all liabilities incurred by use and operaiton of the equipment and the personnel under the control of the rentee and shall indemnify and hold Audio Visions, Inc. harmless from any and all expenses, damages and liabilities. An original certificate of insurance must be presented to Audio Visions, Inc. 36 hours prior to the release of the equipment. Audio Visions, Inc. reserves the right of acceptance of the policy content.
• Sales Tax: Residents of Pennsylvania must pay Pennsylvania Sales and Use Tax of 6% unless an Exemption Certificate is presented at time of rental.
• Additional Day & Weekly Rates: Additional day rates are 50% of the first day rate. Weekly rates are calculated at 3.5 times the first day rate; additional weeks are 50% of the first week rental.
• Methods of Payment: Rental charges are payable at the time of rental or pick-up unless credit has been established. We accept cash, personal checks, and Visa, MasterCard, American Express and Discover credit cards. We reserve the right to require a valid picture I.D. Upon credit approval, terms are net 30 days. A monthly service charge of 2% will be added to all past due accounts.
• Minimum Charges: Minimum charges for a cash or credit card rental is $7.50. Minimum charge for open account billing is $15.00.
• Delivery and/or Pick-Up Via Our Trucks: Delivery and pick-up within a 10-mile radius is available at $25.00 each way. Additional mileage is billed at $1.60 per mile. Additional charges may apply to oversized equipment or to sites where ease of access is restricted. We do our best to meet delivery deadlines; however, we cannot be responsible for delays due to inclement weather or traffic conditions beyond our control. Overtime fees apply to deliveries/pick-ups that cannot be done during our regular business hours.
• Shipping: We will ship rental items when applicable. Shipping via Federal Express or UPS to your destination is added to the rental contract. Return shipping is paid by the renter.
• Equipment Performance: All equipment is checked to be sure it is operable when it leaves Audio Visions, Inc. We help assure success with your rental by providing instructions on our premises or at delivery site; however, we cannot be responsible for a customer’s inexperience in operation of rental equipment. All equipment is expected to return in the same condition in which it was presented to our customer. If a piece of equipment fails the customer must notify Audio Visions, Inc. immediately regardless of the time. If a customer rents a product and they can't get it to work, we will check the product and if the product is found to be defective, we will issue a credit for the rental. If the product works as proposed no credits will be issued.
• Spare Lamps: Most projectors are supplied with spare lamps. Burnt lamps must be returned with equipment or the purchase price of the missing lamp(s) will be added to the rental price.
• Set-Up: Set-up is free when set-up can be done in 15 minutes or less upon delivery. Additional charges apply to set-ups requiring more than 15 minutes. Overtime fees apply to set-ups that cannot be done during our regular business hours.
• Audio/Video Technicians: An audio/video technician may be available to operate equipment during your program or show. Fees vary.
• Repair Technician: Our repair technician can repair some professional audio/video equipment. A nonrefundable bench fee of $35 applies to all repairs and is deducted from the final cost if the item is repairable. Repairs are billed at $75.00 per hour plus parts.
• Rentals Applied Toward Sales: Unless previous arrangements have been made, rental charges are not applicable toward purchase of equipment.
